When deciding to run an event, have a party or go traveling you want to plan it tp make the most out of it. Running a workshop is just the same and most fun when it is well planned. It can feel good to have a list you can check to see if you have covered all the things that could make your workshop the best one yet. Below we have gathered that list for you.
Preparation
- [ ] Relevant exercises - Have exercises to make the most out of the workshop and the people attending.
- [ ] Relevant people - Invite people needed to make decisions*.*
- [ ] Budget - Keep yourself within the frames.
- [ ] Prepare - Making agendas and plans before.
- [ ] Schedule - Make a minute by minute plan.
- [ ] Print (& design) - Name tags, presentations, worksheets and posters.
- [ ] Buy material - Pens, paper, notebooks. → Workshop material
Workshop agenda (‣)
- [ ] Intention - Why are you there in the first place?
- [ ] Agenda - A clear agenda combined with effectiveness.
- [ ] Desired Outcomes - What do you want out of it?
- [ ] Rules - Be clear about the rules of engagement in the workshop.
- [ ] Roles - Be clear about the role of facilitators and partcipants.
- [ ] Time effective - Define and keep the time.
Before the workshop
- [ ] Tech check. Microphones, projector, adapters & light.
- [ ] Room setup. How do you want tables & chairs.
In the workshop
- [ ] Clear intro - Communicate the things defined above. (Remember the ‣)
- [ ] Clear instructions - We refer to it as the holy trinity - instructions that you tell them, show them (keynote) and things that they have close to them (worksheets, grids or printed instructions).
- [ ] You do you - There are no exact path for how to become a good facilitator. For you to be authentic you need to find a good match between your personality and how you lead and facilitate others. →‣
After the workshop
- [ ] Documentation - Write things into Google Docs or Notion. Take photos.
- [ ] Restore the room - Back to how it was
- [ ] Clean up - Recycle paper and get trash away from tables
- [ ] Pack up - Get everything you brought with you back again
Other things to think about
- [ ] Follow-up from last meeting - What is there to follow up from last time?
- [ ] Photographer & videographer - Someone documenting, for being able to keep output or to brag about it in socials.
- [ ] Graphical facilitator - Someone that can summarize conversations & reflections
- [ ] Action steps - What needs to be done when and which things to follow up on the next meeting?
- [ ] Define deadlines & milestones - What will be done til when and who will do it?
- [ ] Document, document, document - Make notes available to be able track afterwards. → **Digital documentation. Are the participants helping out with the documentation.
